This policy explains how Web Wise Media Ltd (“Web Wise Media”, “we”, “us”) collects and uses your personal information, and the rights you have over it. It applies to our website and to the services we provide.

What we collect

We only collect what we need. Depending on how you interact with us, that includes:

  • When you contact us (through our contact form or by email): your name, email address, and anything you choose to put in your message.
  • When you sign up to our emails: your name and email address.
  • When you become a client: the details we need to do the work and invoice you — for example your contact details and business information.
  • When you visit our website: basic technical and usage data collected automatically through cookies and analytics, such as your approximate location, device and browser, and the pages you view (see Cookies and analytics below).

We don’t collect sensitive personal information, and we don’t knowingly collect information from children.

Why we use it, and our legal basis

We use your information to:

  • Reply to you and answer enquiries you send us — because it’s in our legitimate interest to respond to people who get in touch.
  • Provide our services and manage your project — because we need it to carry out our contract with you.
  • Send marketing emails, where you’ve signed up — based on your consent, which you can withdraw at any time using the unsubscribe link in any email.
  • Run and improve our website, and keep it secure — based on your consent for non-essential cookies, and our legitimate interest in a working, secure site.
  • Meet our legal and accounting obligations — for example keeping invoice records.

Cookies and analytics

Our website uses cookies — small files stored on your device. Some are essential for the site to work. Others are analytics cookies that help us understand how visitors use the site (which pages are popular, how people arrive), so we can improve it.

We use Google Analytics to collect this usage data. The information is aggregated and Google processes it on our behalf; we use it to understand trends, not to identify you personally.

You can control or delete cookies through your browser settings at any time, and where we use non-essential cookies we’ll ask for your consent first.

Who we share it with

We don’t sell your information, and we don’t share it with anyone except where it’s needed to run our business or required by law. That can include:

  • Trusted suppliers who help us deliver our services — for example our email marketing platform, website hosting and analytics providers — who only process your data on our instructions.
  • Professional advisers, such as our accountant, where needed.
  • Authorities or regulators, if the law requires us to.

Some of these providers may process data outside the UK. Where that happens, we take reasonable steps to make sure your information stays protected to UK standards.

How long we keep it

We keep your information only as long as we need it. In practice that means:

  • Enquiries that don’t turn into work: we keep them for a reasonable period in case you get back in touch, then delete them.
  • Client records: for as long as you’re a client, and afterwards as long as we’re legally required to — for example, financial and invoice records are kept for at least 6 years to meet UK tax rules.
  • Email marketing: until you unsubscribe or ask us to remove you.

Your rights

Under UK data protection law you have the right to:

  • See the personal information we hold about you.
  • Correct anything that’s wrong or out of date.
  • Delete your information, where there’s no good reason for us to keep it.
  • Object to or restrict how we use it.
  • Withdraw consent at any time, where we relied on your consent (for example, marketing emails).
  • Ask for a copy of the information you gave us, in a portable format.

To use any of these, just email us at [email protected]. We’ll respond within one month, and there’s normally no charge.

How to complain

If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right — email [email protected].

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection, at ico.org.uk.

We may update this policy from time to time. When we do, we’ll change the “last updated” date at the top, and any significant changes will be reflected here. Please check back occasionally to stay informed.
